We want to find out if a CRM is right for us, how to choose one, and how to get started.  How can we use AI tools for this?

Hi Bert,

There are a lot of answers to this and I think that the easiest way to get started is to choose an AI chatbot and have it “interview you”.  That is, ask you questions to gather information about your situation (to use as context) and then, hopefully, use that information to make suggestions.

Let’s do this in pieces.

First, choose an AI chatbot.  If you are just getting started with AI chatbots then we recommend ChatGPT.  Not necessarily because it is “better”.  It just tends to be more forgiving to beginners.  If you are comfortable with AI chatbots then maybe look at Gemini or Perplexity (since this will ultimately be research-heavy).  

Now that you have a tool selected, here is a prompt that can get you going -

You are an expert in marketing and business operations.  Your task is to assess if our organization would benefit from implementing a CRM (customer relationship management) system.  We do not know where to start.  Ask logical questions to gather the information that you will need to make your assessment.  Use the answers as context. Ask one question at a time and wait for a response before moving on to the next.  Ask up to [number] questions.


Replace “[number]” with however many questions you have time to answer.  10 - 20 would be a good starting point.  


That exercise alone will likely bring up questions that you haven’t considered yet.  Between the questions and the chatbot’s recommendation(s), you will be in a much better place to make a decision.
