How can my organization update our outdated volunteer manual using AI tools?

Hi Farah,
Start with what you have and what you know. In this case it sounds like you have an old volunteer manual and you know that you’d like something about it to be different (identify what you like, what you don’t like, what has changed, what has become obsolete, etc.)
It’s okay if you don’t have all of the information or all of the answers (if you did then you probably wouldn’t be looking for help).
Choose an AI chatbot to work with - maybe Gemini or Claude (keep in mind that Claude does not generate images).
You are going to upload/attach your existing volunteer to the chatbot so make sure you remove any confidential or sensitive information from it first. Things like financial information, personally-identifiable information, etc.
Now you put it all together and have a “conversation” with the chatbot to let it know what you want to accomplish, what you already know, what you need help with, etc.
You can use a prompt like this -
You are skilled at creating comprehensive and easy to follow guides and documentation. Your task is to work with me to create a new volunteer manual for my organization.
The existing manual is attached..
I would like to keep [list the things that you want to keep]
I would like to remove/change [list the things that you want to change]
I am not sure about [list the things that you haven’t figured out yet]
Ask me questions to gather missing information and to clarify things that are not clear.
Ask if we’ve covered everything before you create a new volunteer manual and do NOT create a manual until the answer to this question is yes
If you take the time to fill out this prompt completely, you will very likely get closer to your goal of having your new manual created and ready to go.
