Hello Davis,
For the AI policy, I want you to get 2 pieces of paper (or a large whiteboard divided into 2 sections). Write “DO” on one piece or side. Write “DON’T” on the other. Now go through and brainstorm everything that you and your team can think of that you want people to do with AI tools and everything that you don’t want them to do. Capture the information in the respective place.
For example:

- Brainstorm ideas
- Roleplay with “customers” to identify objections
- Create images for marketing materials
- Don’t
- Enter PII (personally identifiable information)
- Enter business-sensitive information
- Enter financial data
- Do
Your lists will likely be much longer than these…
Once you have your lists, go to a chatbot like Gemini (gemini.google.com) and upload the lists (type it in or take a picture). You can use a simple prompt like -
“Reference the attached lists to create an AI Acceptable Use Policy for our organization. Each line item of the Do and Don’t lists should be represented somewhere in the policy”
To figure out which tool(s) you should use, I recommend working backwards from what things you would like to be able to do with the tools. For example, if you want to make videos, that will immediately exclude AI tools that only output text and images. Once you have a list of what you want to do with the tools, search for free or low-cost tools to try and experiment until you find something that works.
